A large, well established importer, distributor and wholesaler is seeking an experienced, dynamic and energetic Admin Assistant for their Seafood department.

Job Summary: Provide clerical and administrative support to the Seafood Department

Duties & Responsibilities

  • Monitor / plan when new permits are needed i.e. permits expired, when the maximum import quantity has been reached and when new species are being imported
  • In conjunction with SANS labelling regulations or any other regulating body (Cross Trades), design and proof labels for new products
  • Forex requests and purchase order requisitions / amendments / cancellations
  • Send new supplier information sheets to Finance for opening of accounts
  • Updates regarding supplier information e.g. changes in payment terms
  • Validate supplier confirmation / Proforma Invoice with purchase order
  • Ensure that management authorizes and signs purchase order requisition forms
  • Upload documents and update reference numbers on the Dashboard
  • Follow-up and obtain authorization and request deposit payment on orders and required date of payment
  • Liaise with suppliers and assist various departments with the same
  • Request and update supplier shipping schedules
  • Assisting clearing agents with queries
  • Assisting Haulage with cold store allocations
  • Follow up on delivery of containers to cold store
  • National Regulator for Compulsory Standards (NRCS)
  • Advise cold stores of sample boxes and if loads are for re-export (no NRCS needed)
  • Gather all required documentation and complete request to sample and advise NRCS of sampling request
  • Follow-up on status of overdue micro results
  • Aiding Sales Executives with information amendments / cancellations / swop outs
  • Local / International sales order requests
  • Follow up on signed sales orders
  • Follow up on load out of released stock in store and request release accordingly
  • Confirm if payment reflects in bank for the Cash Account before releases can be done
  • Check if customers’ accounts are not suspended or on hold before release of product
  • Address any damaged boxes or stock with suppliers and put them on notice that there might be a potential claim
  • Advise Stock team of any stock discrepancies or other queries
  • Provide feedback on Small Balances report and Expired Stock Report
  • Working on Syspro, Outlook, Expedite and Excel and ensuring relevant emails are actioned

Desired Experience & Qualification

  • Grade 12
  • Related tertiary qualification advantageous
  • Proficient in the use of the Microsoft Office Suite
  • Relevant experience advantageous
  • Syspro experience advantageous
